Most real estate teams run follow-up as a phone-only operation.
Agent calls. Voicemail. Calls back. Voicemail. Maybe one email. Done.
This is why 73 percent of "lost" listings were never followed up past day 3.

Touch 1: Day 0
Live call attempt at first contact. Voicemail if no answer.
The voicemail script matters. Don't just identify yourself. Reference a specific detail from the intake form. Example:
"Hi [Seller], it's [Agent] from [Team]. I saw on your inquiry that you're thinking about selling the home at [neighborhood landmark]. I want to walk you through what we're seeing on the buyer side for that price range. I'll try back tomorrow morning at 10. If that doesn't work, you can also reach me at [number]."
Specific. Brief. Sets up touch 2.
Touch 2: Day 1
SMS within 24 hours. Direct. Short.
"Hey [First Name], it's [Agent] from [Team]. Left you a voicemail yesterday about [specific topic]. When's a good 10 minutes to talk this week?"
This is the highest-leverage touch in the entire sequence. Response rates on this exact format typically run 30 to 50 percent. The agent is now in active conversation with half of all leads they couldn't reach by phone.
Touch 3: Day 4
Personalized email with one piece of value. Not a newsletter. Not a market report. One paragraph. One specific piece of information.
"Hi [First Name], I was thinking about your situation and wanted to share something specific. Three homes in your neighborhood within $50K of your projected price band sold last week, all over asking. Quick note on what that means for your timing: [one specific takeaway]. Happy to walk through more on a 15-minute call this week. [Agent]."
Brief. Useful. Easy to forward to a spouse for review.
Touch 4: Day 10
Live call attempt with a fresh voicemail. Different angle from the first one.
"Hi [Seller], it's [Agent] again. I won't keep calling you, but I wanted to share one thing I just saw. [Specific market data point or comparable]. If that's relevant to your timing, give me 10 minutes. If it's not, I'll close your file at the end of next week."
Notice the soft deadline. "Close your file at the end of next week." This is the setup for touch 5.
Touch 5: Day 21
The close-the-file SMS.
"Hey [First Name], I haven't heard back so I'm closing your file. If you ever want to revisit, my direct number is [number]. No need to respond unless you want to. Best of luck."
This single touch recovers roughly 30 percent of leads that have gone silent. The reverse-pressure effect of the agent walking away triggers a response.

Step 1: Build the automation
Each touch is a trigger. Day 0 is manual (live call by the agent). Days 1, 4, 10, and 21 are CRM-automated.
Step 2: Write the templates
Use the exact templates above as your starting point. Customize for your team's voice. Keep them short.
Step 3: Test on 30 leads first
Don't deploy across your entire pipeline immediately. Test on 30 leads for 2 weeks. Measure response rate at each touch. Adjust templates that aren't getting responses.
